Operations Coordinator
Part-time (20-30 hours/week), Seasonal
Foothills Nordic Ski Club is looking for an Operations Coordinator to assist with the coordinations at the clubs nordic skiing venue in Calgary.
Operations Coordinator Responsibilities
Preseason
- Coordinate and assist volunteers with equipment load-in (equipment include trailers, track setters, snowmobiles, ATV and snow gun)
- Coordinate with contractors and volunteers to set-up the facility infrastructure, including:
- Parking lot lane marking
- Fencing and porta-potty
- Signage trail marking
- Lighting
- Learn from and/or train, as necessary, volunteers, troubleshoot as required during set-up.
- Verify all safety and health procedures are met during and after set-up.
- Schedule training on safe handling of fuel and emergency response kit.
- Day to day Operations
- Weekly email/phone/in-person discussions as necessary/pertinent to go over targets, equipment issues, fuel needs, and any safety concern with team leads from each group: snow-making, snow-farming, grooming, and gates.
- Coordinate with volunteers the removal and set-up of the parking lot traffic markers for the snow clearing contractor if required. Act as fall back in case last-minute needed (in response to weather events).
- Make sure facility user groups know how to access and use the facility appropriately.
- Will make sure all user group leads have the appropriate knowledge to operate the facility and are accountable for their groups use/misuse of the facilities.
- Frequent facility walk-throughs and preventive implementation of safety measures as necessary(skiing the facility when snow conditions are safe).
- Assist with special event/program requirements as planned.
- Determine proactively and in agreement with volunteer team leads, when additional contractor help is required to fulfill/complete any of the tasks described above. Agree on the contractor best suited for the task. Obtain and document the necessary expense approval from the Foothills Nordic Confederation Operations Lead.
- There are two main roles in addition to the above and will represent the bulk of time once the ski trails are set up and operational:
1. Grooming coordinator: Lead groomer for Foothills Nordic. Groom evenings or early mornings as required and supplement volunteer groomers as needed. Coordinate all grooming activities and manage the pool of volunteer groomers. Train groomers to develop a standard to ensure consistency and quality of grooming.
2. Snow Farming Coordinator: Coordinate and/or lead all snow farming activities for Foothills Nordic. This will include regular shovelling nights, trailer farming work (two or 3 people activity) and snow blower farming.
Post Season
- Inventory of equipment and assets
- Prepare and submit a report on the maintenance schedule of all equipment
- Coordinate with volunteers for tear-down of site infrastructure, and with load-out of equipment and assets
- Prepare a summary document with suggestions and ideas to improve the facility and the Operations Coordinator role for the next season
General Duties
- Work with leads and Volunteer Coordinators to provide feedback on volunteer requirements.
- Maintain and develop documents to specify processes and track activities, including:
- Invoices and receipts incurred over the course of operations and pre and post-season activities
- Track time spent on tasks (time sheet)
- Record of issues and their resolution
- Documents on procedures and best practices as they are developed and contributed by volunteer teams
- Monthly operations report for the Board of Directors
Operations Coordinator Requirements
- Class 5 Drivers License
- Clean driving record
- Over the age of 25
- Basic knowledge of cross-country skiing
- Able to lift 50lbs
- Ability to work alone and under minimal supervision
- Able to work outside and in the dark in winter conditions
Operations Coordinator Preferences
- Actively cross-country ski
- Experience driving with a trailer, especially in winter conditions
- Experience operating an ATV
- Mechanical aptitude
Job Type: Part-time
Pay: $25.00 per hour
Expected hours: 20 – 30 per week
